We are seeking a friendly and dedicated Office Administrative Assistant to be a valuable member of our Office Services team, based at our South Edmonton Corporate Head Office.
Summary of the role
The primary role of this position is to manage the reception duties for Fountain Tire Place, assist with building maintenance/repair inquiries, assist with general administrative duties, & provide support to other team members.

Key Responsibilities:
- Greet visitors with exceptional customer service, ensuring a professional and friendly first impression, and maintain all visitor logs & visitor badges
- Manage and direct incoming calls promptly and professionally, redirecting inquiries to the appropriate departments
- Maintain the cleanliness, safety, and organization of the reception area
- Act as the primary contact for Fountain Tire courier vendors, overseeing all incoming and outgoing deliveries while managing all related invoicing
- Receive, sort, distribute, and send daily mail/deliveries in a timely, efficient, and accurate manner
- Maintain the mailroom, including mail sorting and supply management
- Assist the Accounting Team with vendor set up-in DAX, and Microsoft Dynamics 365 (D365).
- Utilize and manage the Office Services Ticketing system to track and resolve service requests
- Receive, coordinate, and organize catering requests as needed, including related rebilling
- Provide support where needed for meetings at Fountain Tire Place including arranging coffee/refreshments, room setup and takedown/cleaning, in addition to completing end-of-day shutdown of boardrooms.
- Coordinate, order, and maintain supplies as required
- Coordinate repairs, cleaning and maintenance as required on the building and office related matters
What does it take to get on track?
- 2 to 3 years of experience working in a receptionist and/or administrative support role
- Exceptional organizational skills with high attention to detail
- Strong multitasking/ time management ability
- Working knowledge of Microsoft Office products
- Strong interpersonal and problem solving ability
- Ability to safely lift and carry up to 35lbs
