Primary Responsibilities include:
- Manage the set-up, maintenance, and administration of Corporate Fleet, Mine Service, and Continental National Accounts, ensuring adherence to established requirements.
- Address billing inquiries and resolve issues related to Corporate Fleet accounts, while administering rebate programs through accurate reporting, journal entries, and cheque requisitions in alignment with contractual obligations.
- Develop, validate, and distribute routine monthly reporting for the Corporate Sales and Mine Service teams; prepare ad hoc reporting as required to support decision-making and customer requirements.
- Coordinate the preparation, consolidation, and submission of Request for Proposal (RFP) responses, partnering with Corporate Sales Managers and internal stakeholders to ensure accuracy and timeliness.
- Oversee payables, program related expenses for both Corporate Sales and Mine Service, and rebilling process for contracted customer programs.
- Develop and maintain internal and customer-facing materials including process documentation, onboarding guides, promotional handouts, and team resources, ensuring accuracy, accessibility, and alignment with Corporate Sales initiatives.
- Manage safety programs for Mine Service technicians, including vendor account setup, ordering, and tracking of required materials..
- Oversee Mine Service accommodations, and related administration, including hotel bookings, contract approvals and expenses.
- Contribute to continuous improvement by identifying process efficiencies, supporting service level goals, and implementing best practices and safety initiatives across Corporate Sales and Mine Service programs.
Required Knowledge, Skills, & Abilities
- Post-secondary education in business administration, finance, marketing or a related field; equivalent experience considered.
- Experience in customer account administration, reporting, and financial processes is an asset.
- Proficiency with Power BI for reporting and data visualization, Dynamics 365 (D365), PandaDoc, CRMs and advanced Microsoft Excel skills.
- Strong analytical and organizational skills with a proven ability to manage financial processes, generate accurate reports, and maintain program compliance, including the ability to create clear process documentation and develop customer-facing promotional materials.
- A positive, “can-do” attitude and customer focused approach that will enable dealing with challenging situations with integrity, empathy and sincerity.
- Outstanding interpersonal communication to develop and maintain effective relationships with stores, customers, suppliers and internal teams.
